Position Title: Special Events Coordinator

Reports Directly To: Executive Director & Station Manager

Position Type: Part time

Directly oversees: Maintenance crew, Events team

General Description:

Work with Executive Director (Museum) & Station Manager (Railroad) as part of the sales team to respond to inquiries for special events and rentals focusing on Lake Superior Railroad Museum (LSRM) space, but assisting as needed, for events on the North Shore Scenic Railroad and, when part of a museum sponsored event, in the St. Louis County Depot.

Main duties include the coordination and staffing of events. This includes, but is not limited to:

  • Respond-to and follow-up on sales inquiries by post, telephone, email and personal visits.
  • Coordinate the planning and set up for events in the spaces outlined
  • Scheduling the proper event teams and working with LSRM/NSSR maintenance staff and St. Louis County Depot management to insure all aspects of an event are clearly outlined, communicated clearly and all necessary paperwork and scheduling is completed in a timely manner.
  • Work with various caters and vendors to insure customer satisfaction. Pricing and ordering such services as necessary.
  • Meet weekly with other company personnel to review upcoming events.
  • Liaise and attend meetings and other sponsored functions necessary to perform duties and aid customers in the satisfactory execution of their events.
  • Work with accounting on billing for events and services.
  • Maintain events calendar and work with other scheduling platform coordinators to insure that every event is scheduled properly and that all parties involved know what is needed for time, space and personnel.
  • Develop new special events for the museum & railroad
  • Maintain inventory of consumables for each event

Requirements:

  • Must have excellent organizational skills and be able to work with others
  • Strong verbal, written and communication skills
  • Projects a positive, energetic, professional and customer service oriented persona
  • Must be willing to work non-routine hours as needed for events/meetings
  • Proven leadership ability and be able to empower and influence team members to achieve objectives.

Salary & Benefits:

  • Hourly Pay: $17-$20 based on experience
  • 401k with no employer contribution
