Job Title: Volunteer Coordinator/Administrative Assistant

Department: Museum/Operations

Supervisor: Executive Director

SUMMARY Develops, coordinates and oversees the functions of the volunteer program; recruits, schedules, supervises, and retains Museum/Operations volunteer staff; plans and executes volunteer events; assists with other development department activities as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may also be assigned.

  • Manages volunteers, actively communicating Museum policies and procedures and assists with directing their work.
  • Oversees compliance with company’s child protection policy.
  • Communicates with volunteers in a timely fashion to inform them of upcoming Museum events and programs.
  • Acts as Museum contact for volunteer service organizations.
  • Recruits, screens, interviews and helps train new volunteers.
  • Supervises, evaluates and oversees Museum’s volunteer program.
  • Prepares in advance for all volunteer projects, training and paperwork.
  • Works closely with Museum and Railroad staff to schedule volunteers for daily operations and Museum events and to communicate needs ahead of the volunteer work.
  • Assist in developing volunteers and maintains volunteer recognition program.
  • Assist in developing and implementing a volunteer and membership marketing strategy.
  • Enters and maintains up-to-date volunteer and member records database.
  • Creates and maintains up-to-date volunteer records.
  • Attends trade shows, educational institutions, and job fairs representing the Museum and its interests as assigned.
  • Speaks publicly to groups about the Museum, member and volunteer opportunities.
  • Coordinates with each department for intern needs and recruits’ interns.
  • Develop and maintain membership program budgets.
  • Cultivate volunteers to become more engaged with the Museum.
  • Assists Executive Director with development tasks as requested.
  • Participates in professional development activities including webinars, workshops, events, and seminars in line with the vision and growth of the department.
  • Coordinate the annual Volunteer Dinner.
  • Participate and help volunteers for all Museum-wide events.
  • Perform other duties as assigned.

  • Prior experience as a volunteer coordinator.
  • Prior experience in training.
  • Computer skills with Microsoft and Google

Preferred Skills:

  • Prior involvement with a railroad and or a museum

Salary & Benefits:

  • Salary range from $45,000 to $50,000
  • BCBS for individual paid by employer
  • 401k with employer contribution of 5% after 18 months
  • Paid vacation and sick leave above Sick & Safe Guidelines
